Scenarios and workflows
Basic integration features
When you use the Autotask/File Protection integration, it is vitally important to bear in mind the following:
The integration will ensure that for each Autotask company that is synchronized with a team, the Autotask contract is created automatically.
It will also ensure that there is only one Autotask contract. Even if you created a second contract that contained services, the unit counts for those services would be reduced to zero, and the services would be automatically added to the existing contract.
File Protection Manager completely controls the number of licenses and the amount of storage available to a team.
IMPORTANT If you change the number of units in the Autotask contract, they will not be updated in File Protection.
The cost and price of services in Autotask Admin > Features & Settings > Products and Services > Services is determined by the Unit Cost and Unit Price synced fromFile Protection Manager.
As is true for all billing items in Autotask, the contract that governs a recurring service determines the actual price charged to the client for the service, regardless of the default price and any changes to it.
Supported workflows
Once you have configured the File Protection Manager integration with Autotask, the following workflows are supported:
- Link an existing team to a Autotask company, or create a new company in Autotask. Both scenarios will automatically create the Autotask contract. Refer to Map a File Protection team to Autotask.
- Add or remove services to an existing team subscription and have the changes synced to the Autotask contract. Refer to Add or remove services on a team subscription.
